This policy explains what personal data GRID Script Awards collects, why we use it, who we share it with and what your rights are.

Who we are

GRID Script Awards ("GRID", "we", "us") is an online screenwriting competition.

If you have any questions about this policy or your data, email us at hello@gridscriptawards.com

What data we collect

When you join our mailing list, we collect your email address, and your name if you give it. When you contact us by email or through our website, we collect your name, email address and whatever you write to us.

When you enter through FilmFreeway, we receive your name, email address, country and the details you give in your entry, such as your script, title, logline, synopsis and bio. FilmFreeway processes entry fees, so we never see your card details. If you become a finalist or winner, we also use your name, script title and category, plus any photo, bio or links you choose to send us for announcements.

When you visit our website, our host Squarespace collects technical information such as your IP address, browser, device and the pages you visit, partly through cookies.

Please don't send us sensitive personal information, such as health details, unless it's needed for your entry.

How we use your data

UK data protection law requires a legal reason, called a lawful basis, for each way we use your data.

We send our newsletter and updates only with your consent, and you can unsubscribe at any time using the link in every email. We reply to your messages because we have a legitimate interest in answering enquiries.

We use your entry details and script to run the competition, which means receiving, reading and judging entries, and contacting entrants. We do this to deliver the competition you entered under our rules, which is a contract between us. We publish the names, script titles and categories of finalists and winners for the same reason, and because we have a legitimate interest in promoting the awards. We only publish your photo, bio or links with your consent.

We use technical and usage data to run, secure and improve our website, based on our legitimate interests, and we only use non-essential cookies if you agree to them. We keep entry and fee records because the law requires us to keep financial records.

We never sell your data, and we don't use it to make automated decisions about you.

Who we share it with

We only share your data where it's needed to run GRID.

FilmFreeway handles our entries and entry fees, and its own privacy policy covers the information you give it. Squarespace hosts our website and contact forms, and sends our newsletter through Squarespace Email Campaigns.

Jury members and readers read scripts to judge them. Scripts are read blind, with writers' names removed, and readers agree to keep them confidential. We may also share data with professional advisers, such as an accountant, or with authorities where the law requires it. When we announce finalists and winners, their names and details are shared publicly on our website and social media.

We never share your script with anyone outside the judging process, and entering doesn't give us any rights to your work.

How long we keep it

We delete all scripts, including any copies given to readers and jury members, once that year's winners are announced. We keep entrants' names and contact details for [12 months] after winners are announced so we can answer any questions, then delete them. Entry fee and financial records are kept for as long as UK tax law requires.

We keep your email address on our mailing list until you unsubscribe, and messages you send us for [12 months] after our last contact. Announcements of finalists and winners stay on our website as an archive, but you can ask us to remove your information.

Cookies

Our website uses cookies set by Squarespace. Essential cookies keep the site working. Analytics or other non-essential cookies are only used if you accept them in our cookie banner. You can also block or delete cookies in your browser settings.

Data outside the UK

Some of the services we use, including Squarespace and FilmFreeway, are based in the United States, and some jury members may be based outside the UK. Where your data leaves the UK, we rely on safeguards recognised under UK law, such as the UK–US data bridge or approved contract terms.

Keeping your data safe

We keep accounts protected with strong passwords and two-step verification where available, limit access to the people who need it, and share scripts with readers securely.

Your rights

Under UK data protection law, you have the right to ask for a copy of the data we hold about you, to ask us to correct anything that's wrong, and to ask us to delete it.

You can also ask us to limit how we use your data or object to how we use it, ask for your data in a format you can take elsewhere, and withdraw your consent at any time, for example by unsubscribing from our newsletter.

To use any of these rights, email hello@gridscriptawards.com and we'll reply within one month.

Complaints

If you're unhappy with how we've handled your data, please contact us first so we can try to put it right.

Changes to this policy

We'll post any changes on this page and update the date at the top.
